Client portals for agencies

A client portal that runs your client work.

No project tool needed. Clients see their projects, approve new versions, send files and brief new work, and your team runs it all from the portal’s own project board.

Running client work over email?

Email, chat and file links weren’t built for this.

What gets in the way when projects, feedback and files travel by email, chat and transfer links. Product limits from each vendor’s own help pages; survey figures from the named studies.

01

Big files don’t fit in an email

Gmail stops at 25 MB and Outlook.com at 20 MB, so videos go out as download links, and a free WeTransfer link stays up for 3 days at most.

02

Feedback arrives in pieces

Notes come from several people across email threads, chats and calls. In a Filestage survey, 53% of marketers had to pull feedback together from different people and places.

03

Sign-off is slow

Getting client feedback on time is a top challenge for 42% of agency leaders, in Teamwork.com’s 2024 survey of 503 of them.

04

Briefs arrive with gaps

New requests come in by email, WhatsApp, text or phone, often with details missing. Only 10% of creative agencies agree that marketers write good briefs.

05

Approvals get lost

Gmail starts a new thread when the subject line changes, and Slack’s free plan only shows the last 90 days of messages. The record of who approved what drifts away.

06

Projects stall while you chase

Work waits while you chase clients for content, files and answers, sometimes for weeks. In Filestage’s survey, 48% had to chase people for approval.

Every “any update?” email is a client who can’t see their own project. Give them a window into it.

How it works

From sign-in to a new project.

This is what your clients see. Everything in it comes from the portal’s own project board, where your team runs the work.

01

Sign in with one link.

You send each client contact a personal link. They open it and they’re in. No password, no new account to set up.

The portal's sign-in page in the agency's brand
02

See every project, live.

Stages, dates, new versions to review and the files you need from them, updated the moment your team moves something on the board.

The client's overview: what needs them, projects, dates and progress
03

Review and approve in one place.

They watch the new cut, read your notes, and approve it or say what to change. It goes straight to your board, with their note.

04

Start the next project.

A short brief: what they need, what it’s for, when, and any files. It lands on your board as a new project, ready for the kickoff.

Where it lands

Your team runs everything from one board.

No project management tool to buy or learn. The portal comes with its own board for your team, and every card on it is what your client sees, live.

A client sends a new brief

A new card in New briefs, with the brief and the files. Accept it to start the project

They approve a version or ask for changes

The deliverable moves on, with their note on the card

They upload a requested file

The file is on the project, and the request is ticked off

Your team adds stages, deliverables and file requests

They show up in the client’s portal straight away

Later on ClickUp, Airtable, Notion or monday.com? We connect it, and your clients’ portal stays the same.

Next to the portal

Connect any tool you choose.

The portal’s board stays at the centre. Next to it, the portal can work with the tools you already use: chat, CRM, files, calendars and accounting. If a tool has an API, we can connect it.

  • Slack
  • HubSpot
  • Google Drive
  • QuickBooks
  • Xero
  • ClickUp
  • Notion
  • Airtable
  • monday.com
  • Gmail
  • Google Calendar
  • Zapier
  • Dropbox
  • Calendly
  • Figma
  • Any tool with an API

Payments, if you want them.

Send invoices through the portal and clients pay by card right there, through Stripe. Your team sees the payment the moment it lands.

  • Each invoice sits next to the project it belongs to
  • Card payments through Stripe, with receipts sent for you
  • Paid invoices can sync to QuickBooks or Xero
What’s included

Built and set up for you.

Your clients get a portal that looks like you. Your team gets fewer status emails, and the answers clients need are already there.

Custom designed for you

A design made for your agency, never a template, on a domain like portal.youragency.com.

Sign-in links, no passwords

Each contact gets their own link, and you can see who has signed in.

Its own project board

Columns from new brief to done, with stages, deliverables and file requests your clients see live.

Approvals and change requests

With notes, and a record of every decision a client made.

File requests and uploads

Ask for logos, fonts or price lists. Files go straight to the project that needs them.

New-project briefs

A guided brief that becomes a new project for your team.

Timeline, calendar and updates

Every stage and due date, and a feed of everything that moved.

A weekly email to each client

What moved this week and what needs them, every Monday.

An admin view for your team

Invite contacts, check the sync and open any client’s portal exactly as they see it.

It works on phones too, so clients can approve from wherever they are.

FAQ

Before you book.

Do my clients need an account or a password?

No. Each contact gets a personal sign-in link from you. They open it on their device and stay signed in.

Do we need a project management tool?

No. The portal comes with its own project board. New briefs land there, and your team adds stages, deliverables and file requests from it.

Can we connect a tool later?

Yes. If you move to ClickUp, Airtable, Notion or monday.com, we connect it and your clients’ portal keeps working the same way.

Can clients see our internal work?

No. Only what you mark for a client reaches the portal, and each client only sees their own projects.

Can it match our brand?

Yes: your logo, your colours and your own domain.

Can it connect to our other tools?

Yes. Alongside your project tool it can connect to the tools you already use, like Slack, HubSpot, Google Drive or QuickBooks. If a tool has an API, we can connect it.

Can clients pay invoices in the portal?

Yes, if you want it. Clients pay by card through Stripe, and your team sees the payment straight away.

Can we try it first?

Yes. Open the live demo as a made-up client: approve a cut, upload a file, start a project. It runs on the portal’s own board, with no project tool behind it, and nothing reaches a real team.
